This policy explains how NK Providers may collect, use, store, and protect information across the SubdiviCore Admin Web App, SubdiviCore Resident Mobile App, SubdiviCore Security Mobile App, and related platform services.

Authenticated access

Administrative features require sign-in. Roles, permissions, and subdivision scope determine which records and actions are available.

Subdivision records

The platform may process resident, property, visitor, vehicle, billing, facility, document, service-request, incident, patrol, and notification data for multiple subdivision clients.

Authorized use

Information should be accessed only by authorized subdivision personnel for operational and administrative purposes.

Operational traceability

Activity may be reflected in reports, notifications, audit logs, or related records to support accountability and service continuity.

Who operates SubdiviCore

SubdiviCore is operated by NK Providers in the Philippines. This Privacy Policy applies to the SubdiviCore Admin Web App, SubdiviCore Resident Mobile App, SubdiviCore Security Mobile App, and related platform services.

Information we process

SubdiviCore may process account details, contact details, role and permission data, subdivision membership, resident and household records, property records, visitor and gate activity, vehicle information, service requests, incident reports, patrol activity, facility bookings, billing records, payment references, uploaded files, notifications, device tokens, audit logs, and diagnostic data needed to operate the service.

How information is used

Information is used to authenticate users, manage subdivision operations, support resident and security workflows, process administrative requests, send operational notifications, maintain reports, verify payments, troubleshoot service issues, and protect the platform from unauthorized access.

Mobile app usage

The SubdiviCore Resident Mobile App and SubdiviCore Security Mobile App may use account identity, subdivision membership, push notification tokens, uploaded images or files, QR or access-related data, and device-level metadata required for resident, guard, or administrative workflows.

Multi-tenant access and sharing

SubdiviCore is designed for multi-tenant and multi-subdivision clients. Access should be limited to authorized users within the appropriate subdivision scope, NK Providers personnel supporting the platform, service providers needed to operate the service, or parties required by law, regulation, or subdivision policy.

Retention

As an initial retention approach, SubdiviCore keeps records while the client subdivision workspace or related account remains active, and for as long as reasonably needed for operations, billing, security, accounting, audit, dispute resolution, legal compliance, backups, and support. NK Providers may delete, anonymize, or archive records when they are no longer needed or when a valid request is approved, unless retention is still required for legitimate operational or legal reasons.

Security

The platform is designed around authenticated sessions, permission-aware access, scoped records, and operational auditability. No system can guarantee absolute security, so administrators should keep accounts protected and report suspected misuse promptly.

User choices and requests

Users may request account updates, access changes, notification adjustments, correction of inaccurate operational data, deletion review, or other privacy-related assistance through their subdivision administrator or by contacting NK Providers at nkproviders@gmail.com.
